Corporate booths: plan a useful visitor experience for Toronto Spring Festival 2027

A corporate booth and a sponsorship are different decisions
Toronto Spring Festival 2027 is scheduled for February 5-7 at Nathan Phillips Square, Toronto City Hall. February 5 is the setup day; free public programming is planned for February 6-7. A corporate booth can give a business a place to meet visitors, while a sponsorship is a separately agreed partnership.
The current official guide lists a Corporate Booth at CAD 3,800 plus HST. Custom sponsorships require a separate quote. Neither a booth listing nor an application establishes available space, exclusive category rights, media coverage or an accepted partnership. Confirm the dates, inclusions and terms in writing before committing.
1. Design one clear visitor interaction
Choose an activity that a visitor can understand quickly: a short demonstration, a conversation with a knowledgeable representative or a hands-on introduction to your product. Write down what the visitor gains from taking part, not just what your business hopes to collect.
Estimate how many people your team can serve at once, how long each interaction takes and where people will wait. Keep space for passers-by and ask the organizers to review your proposed footprint. A queue should not be the only sign that the booth is working.
2. Confirm the outdoor setup before ordering equipment
Prepare a drawing of your counter, signage, display equipment and storage needs. The listed corporate option includes a tent, heater, power, one table and two chairs. Confirm the actual specifications and any extra requirements for your setup; the listing does not establish internet service or enough electrical capacity for every appliance.
Discuss loading access, installation time, equipment security and how weather-related changes will be communicated. Have a simpler version of your activity available if a screen or connection is unavailable. These are planning questions, not a statement of confirmed site facilities.
3. Budget for the team as well as the space
Allow for staff rotations, transport, display production, equipment and supplies separately from the booth fee. Identify a person who can make operational decisions on site and another who can answer questions before the event. Request the applicable insurance, accessibility and site requirements early.
Give staff a concise brief on the activity and the information they may share. Avoid promising an unapproved offer, a guaranteed result or access to festival visitor data. Make the experience usable for people who prefer a short explanation instead of a sales conversation.
4. Measure the interaction, not a guessed share of the crowd
According to figures provided by the organizer, previous editions attracted approximately 60,000-80,000 attendees. The organizer expects a similar scale in 2027; this is a forecast, not guaranteed attendance.
Overall festival attendance does not tell you how many people will visit your booth. Plan to record a small set of observations you can actually measure, such as completed demonstrations or conversations. Define the counting method so different staff members use the same approach.
If visitors choose to request more information, explain who will contact them and why. Do not assume festival attendance gives permission for later marketing. Agree any data-handling arrangements before collecting information, and distinguish an expression of interest from a sale or confirmed customer.
5. Apply through the shared vendor entry point
Use the 2027 application to introduce your business and describe your corporate booth proposal. Include your activity, staffing, space and equipment needs, then list the questions still awaiting an answer. Receipt of the application is not acceptance, a reserved booth or a request for payment.
